Exhibitor Appointed Contractors

  • It is the exhibitor’s responsibility to see that all appointed contractors or agents abide by the rules and regulations for ROOFTech, including the Guidelines for Exhibitor Appointed Contractors outlined below. 
  • We recommend that they review this manual to give them an overall picture of the show guidelines.
  • Exhibitors are required to notify Show Management of their intent to use an EAC by submitting the online Intent to Use an Exhibitor Appointed Contractor form prior to March 22, 2019
  • Exhibitors will require the EAC's Certificate of Insurance to complete the above form.

Guidelines for Exhibitor Appointed Contractors (EACs)

Exhibitors should make EACs aware of the guidelines to be followed as listed in the Booth Standards and Show Standards, as well as the points below:

  1. EAC’s are NOT ALLOWED to perform or provide services for the following areas: Material Handling (Palais des congrès de Montréal), Fork and Genie Lift Operations (GES Canada & Palais des congrès de Montréal), Overhead Rigging, Electrical Services, Plumbing and Mechanical Services, Telecommunications, Booth Cleaning and Catering (F&B) (Palais des congrès de Montréal). 
  2. The exhibitor is responsible for providing the EAC with any necessary information pertaining to the exhibit hall (i.e. utilities, order forms, dates, hours, shipping information, booth regulations, etc.) via the Online Exhibitor Manual.
  3. The EAC shall be given the right to provide services requested of them by an exhibitor in the set-up and dismantling on the show floor, and shall have the right to utilize qualified employees. 
  4. These services shall not conflict with existing labour regulations or contracts, including exclusive services provided by the Palais des congrès de Montréal and GES Canada. In performing work for their clients, the EAC shall cooperate fully with the Palais des congrès de Montréal and GES Canada. 
  5. The EAC shall have a true and valid work order from an exhibitor in advance of the show move-in date and shall not solicit business on the show floor, or during move-in or move-out dates. 
  6. The EAC will be responsible, if applicable, for all reasonable costs related to the EAC’s work at the site. This may include overtime pay for stewards, restoration of the exhibit space to its initial condition, etc.
  7. The EAC shall abide by the Act Respecting Occupational Health and Safety and its applicable regulations at all times during set-up and tear down. All workers MUST wear approved safety footwear at all times during move-in and move-out, regardless of their booth size or location on the show floor. Approved hard hats must be worn in booths where overhead work is being done. Full details can be found in the Health & Safety Regulations section of the exhibitor manual.
  8. EAC’s must wear the show-designated move-in/out badges. These badges are not valid during show hours. If the EAC duties require them to service an exhibitor’s booth during show days, the exhibitor must provide the EAC with an official exhibitor badge.
  9. EAC must confine operations within the exhibit area of the exhibitor. Aisles and vacant areas may not be used as work or storage areas.
  10. The EAC covenants and agrees to indemnify and hold harmless Informa Canada Inc., Canadian Roofing Contractors Association (CRCA) and the Palais des congrès de Montréal from and against all claims, demands, charges, losses or damages arising or alleged to arise directly, indirectly or incidentally by reason of any act, omission or operations of the contractor, its officers, employees, agents or anyone for whom the contractor is legally responsible.
  11. The EAC acknowledges that its equipment and property at the Palais des congrès de Montréal is not protected by insurance against fire, theft, vandalism, etc. by the Palais des congrès de Montréal and the protection of such is the responsibility of the EAC.
  12. The EAC shall possess a valid public liability and property damage insurance policy with minimum $5,000,000 in coverage. The Certificate of Insurance must name Informa Canada Inc, the Canadian Roofing Contractors Association and the Palais des congrès de Montréal as additional insureds.
  13.  Exhibitors are required to obtain the EAC's Certificate of Insurance and submit it to Show Management via the online Intent to Use an Exhibitor Appointed Contractor form prior to March 22, 2019.
  14. EAC’s must submit a Certificate of Insurance that meets the following criteria:
    • Comprehensive liability insurance shall provide a minimum limit of liability of five million dollars ($5,000,000) for bodily injury and/or property damage in any one occurrence.
    • Issued by an insurance company licensed to transact business in North America.Provide that it will not be cancelled or materially altered prior to the termination of the Occupancy Period (April 15 – 17, 2019 inclusive).
    • Lists the following as additional insured:
      1. Informa Canada Inc. (20 Eglinton Avenue West, Suite 1200, Toronto, ON M4R 1K8)
      2. Palais des congrès de Montréal (1001 Jean Paul Riopelle Pl, Montreal, QC H2Z 1H5)
      3. Canadian Roofing Contractors Association (2430 Don Reid Dr, Ottawa, ON K1H 1E1)
